Maintenance of your Rotary club account - 17/08/2007

The Finance Department of Rotary International Europe and Africa would like to emphasize a few points that could have a huge impact in the maintenance of your club account. We would deeply appreciate it if you and your Treasurer could carefully read the following and make sure that each point below has been attended to. This will prevent inconveniences for your club and for RI, and will allow RI to use its resources in a more efficient way.
For your information, clubs that will not have fulfilled their financial obligations by the 30/09/2007 will receive a reminder letter from Evanston.

1. HAVE YOU RECEIVED THE SEMI-ANNUAL REPORT?
IF NOT, PLEASE CONTACT YOUR FINANCIAL REPRESENTATIVE AT RI IMMEDIATELY
All secretaries of Rotary clubs should receive the SAR each January and July. The invoice should be transmitted to the Treasurer. If nothing is received by the end of these months, please contact our Office to request a copy.

2. HAVE YOU INFORMED YOUR EUROPE AND AFRICA OFFICE OF THE CHANGES REGARDING YOUR PRESIDENT/SECRETARY AND/OR THEIR ADDRESSES?

Since the SAR is sent to the Club Secretary it is very important that the RI database is updated. One of the main reasons clubs do not get the SAR is because they do not communicate these changes.

3. HAVE YOU RETURNED YOUR UPDATED MEMBERSHIP LIST?

It is very important to return your club's membership list with the changes (if any) as without it, no adjustment can be made to the club account. Therefore, the difference of more/less members will be shown as a credit or debit until the adjustment is made.

4. ARE YOU USING THE PROPER ACCOUNT TO REMIT YOUR PAYMENTS?

Separate account for RI and TRF payments now exist for most districts. Please revert to the bank instructions sheet that has been provided to your club. If you don’t have these bank instructions, our Department will gladly provide you with a copy.
